Artificial Intelligence Notice
SpecAlign uses artificial intelligence and machine learning to process your uploaded documents. This includes:
- Optical character recognition (OCR) to read document text
- Computer vision to analyze images and design boards
- Natural language processing to extract and categorize specifications
- Pattern matching to assign specifications to rooms and trades
AI processing occurs on secure cloud infrastructure. Your individual documents remain private and are never shared with other customers. However, we may use anonymized, aggregated data derived from specifications to improve our AI models (see Section 3.1).
3.1 Aggregated & Anonymized Data
To advance AI capabilities for the residential construction industry, we create anonymized, aggregated datasets from specification data across our platform. This section explains what this means and how it works:
What We Aggregate
- Specification patterns (e.g., common flooring types, fixture specifications)
- Material and product references (manufacturers, model numbers, finishes)
- Room type classifications and typical specification categories
- Industry terminology and nomenclature patterns
What We Remove (Anonymization)
- All personal identifiers (names, emails, phone numbers)
- Project names, addresses, and location data
- Organization and company names
- Client and homeowner information
- Original document files, images, and design boards
- Any information that could identify a specific project or person
How We Use Aggregated Data
- Training and improving SpecAlign's AI extraction accuracy
- Developing specialized AI models for residential construction
- Creating industry benchmarks and insights

Important Notes
- Anonymized data cannot be traced back to you or your projects
- Once anonymized, data is no longer considered personal information
- Anonymized data is not subject to individual deletion requests

4. How We Share Your Information
4.1 Within Your Organization
Project data is shared with members of your organization and project teams as configured by your administrators. Access is controlled through role-based permissions.
4.2 Service Providers
We share data with trusted third-party providers who assist in operating our Service:
- Cloud Infrastructure: Secure hosting and data storage
- Google Gemini: AI document processing (documents processed securely, not used for model training)
- Resend: Transactional email delivery
4.3 Legal Requirements
We may disclose information if required by law, court order, or government request, or if necessary to protect our rights, safety, or property.
4.4 Business Transfers
In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity. We will notify you of any such change.
4.5 We Do Not Sell Your Data
We do not sell, rent, or trade your personal information or project data to third parties for marketing purposes.
5. Data Retention
We retain your data for as long as your account is active or as needed to provide the Service. Project data is retained according to your organization's settings. Upon account deletion:
- Personal account data is deleted within 30 days
- Project data may be retained if other organization members have access
- Backups are purged within 90 days
- Anonymized analytics data may be retained indefinitely

You have the right to:
- Access: Request a copy of your personal data
- Correction: Update inaccurate or incomplete information
- Deletion: Request deletion of your account and associated data
